Job SummaryThe Senior Program Associate is a key supportive player to critical program areas at USAging. This role will support USAging projects related to social engagement and caregiving. The ideal candidate will be an efficient time manager who is organized, responsive, detail-oriented, forward-thinking, a planner and a team player able to balance multiple projects daily.Job Title: Senior Program AssociateReports to: Program Director Duties and ResponsibilitiesUtilize project management tools, including Excel, to organize and manage program activitiesSupport project website(s), including working with vendors and funders to ensure websites are properly maintainedDevelop, administer and analyze online surveys in collaboration with team membersDraft, edit and work with team members to produce a variety of written products, including email blasts, fact sheets, meeting summaries, survey reports, presentations and other materialsOversee webinar logistics, including selecting dates, organizing planning calls, coordinating with speakers, posting webinar resources and recordings online; serve as technical lead on Zoom webinars. Manage scheduling, logistics and note-taking for frequent meetings and eventsMonitor communications channels, including project email inboxes, and maintain contact listsCommunicate clearly in writing and via telephone/Microsoft Teams/Zoom with USAging members, partners, funders and other stakeholdersWork with vendors and partners to facilitate an efficient process for the administration and completion of projectsProvide administrative support for conferences, exhibits and other activitiesServe as a back-up to the USAging Office Manager, as necessary, and cross-train on USAging office systemsOther duties as assignedQUALIFICATIONSBachelor's degree required plus at least two years of relevant work experienceExcellent organizational skills, attention to detail and follow-throughExcellent oral and written communications skillsAbility to plan ahead, meet deadlines and balance multiple projectsAbility to keep track of details and timelines and effectively communicate the most relevant information to supervisors/colleaguesExcellent skills with Microsoft Office, particularly Word, Excel and PowerPointExperience with Constant Contact or other email platforms, Survey Monkey or other survey platforms, and webinar/communications broadcast platformsExperience with website maintenance platforms is preferredQuick thinker with demonstrated problem-solving and strong interpersonal skillsMust have an all-hands-on-deck attitude and a willingness to pitch in when neededPassion for USAging's mission of helping older adults age in place and maintain their health and independence for as long as possibleWORK HOURS AND LOCATIONCandidates outside of the Washington, DC area will be considered. The successful candidate will be able to occasionally travel to member conferences and always attend the USAging Annual Conference and Tradeshow each summer for up to six days.
