Vision and Values. POSITION SUMMARY The Executive Assistant is an
integral part of the Executive Office, which provides overall
leadership and strategic direction for the Greater Washington
Community Foundation. Reporting to the Advisor to the CEO and Chief
Executive Officer, the Executive Assistant provides critical,
high-level administrative support to the CEO, and General Counsel &
Senior Philanthropic Advisor. This role will support the day-to-day
operations of the Executive Office and coordinates closely with The
Community Foundation Board of Directors and Board Committees. The
Executive Assistant will partner with the Advisor to the CEO to
prioritize internal and external commitments, ensuring effective
communication and engagement with staff and as a liaison to the
Board of Directors. To be successful in this role, efficiency and
exceptional client services are prized, and a high degree of
emotional intelligence is expected. The successful candidate will
be well organized and diplomatic to support a busy CEO's calendar
and able to work independently. Our organization follows a hybrid
work structure where employees are expected to work from the office
at least two days per week. In addition to the duties described in
this position description, every role at The Community Foundation
is expected to contribute to the overall success of the
organization and its goals. This may mean that team members will be
asked to take on other tasks that may not be listed here. Examples
may include working on a project or specific task outside of your
standard area of responsibility, participation on an
organization-wide task force or special initiative or being asked
to support a colleague when needed. Any additional tasks will be
determined by the manager of this role in coordination with the
leadership team. ESSENTIAL FUNCTIONS & RESPONSIBILITIES Executive
AdministrationOversee and prioritize President & CEO's daily
calendar; liaise with staff and communicate with stakeholders.
Manage logistics for meetings, make travel arrangements, and submit
expense reports for the Executive Office. Assist in preparing
meeting materials and agendas for presentations conducted by the
President & CEO and other members of the Executive Office. Serve as
point-of-contact for all payment requests, process invoices,
membership fees, grants, and consultant invoices for review and
approval. Maintain and keep accurate records, ensure distribution
lists are updated frequently; submit contact reports following key
meetings with donors and partners on behalf of the CEO. Partner
with internal staff on meeting schedules, ensuring alignment and
presence of the CEO at key events and internal meetings. Review and
analyze letters, agendas, memos, and determine significance, and
route to appropriate personnel in a timely and efficient manner.
Assist with special projects as assigned by the Advisor or CEO;
Represent and staff events on an ongoing basis. GovernanceProvide
administrative support to the Board of Trustees at the direction of
the Advisor. Coordinate logistics for quarterly meetings, including
catering, preparing materials, and writing minutes from the
meetings; provide support for all Board Committee meetings.
Maintain the Board of Directors information portal, board
acknowledgments, recognitions, conflict of interest forms, etc.
Operational SupportProvide administrative support to The Community
Foundation on an as-needed basis; functions may include front desk
responsibilities, answering phones, greeting, and welcoming guests.
Requirements: DESIRED SKILLS AND EXPERIENCEBachelor's degree
preferred. Four to six years of high-level executive expertise
required. Related work experience, non-profit or Foundation, is
preferred. Experience working with a Board of Directors and
executive-level staff. Must be able to meet deadlines in a
fast-paced environment and follow through to accurate completion.
Has exceptional time management abilities. Possess outstanding
written and oral communication. Demonstrates exceptional
decision-making and judgment. Possess the ability to perform work
independently, expeditiously, and proactively. Possess strong
analytical and problem-solving skills. Demonstrates Outstanding
organizational and forward-thinking abilities. Proficiency with
Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Outstanding customer service and interpersonal skills. Commitment
to The Community Foundation's values, including leading with a
racial equity mindset . SALARY AND BENEFITS Salary for the position
starts at $63,000.00. Salary commensurate with experience and
