THE OPPORTUNITY The Operations Assistant serves as the first point of contact between DC Prep and its students, families, staff, and the general public, and as such, the Operations Assistant is responsible for consistently maintaining a welcoming, inclusive environment, and providing excellent customer service to all. The Operations Assistant will be the main receptionist for the front desk and work closely with the Office Manager, Operations Site Lead, and Principal to ensure the needs of all students, staff, and families are met with attention to quality and timeliness. The Operations Assistant is a full-time position with a schedule of 40 hours per week during both the school year and the summer months. Additional night and weekend hours and occasional overtime may be required as needed for campus events and/or emergency situations. This position has no supervisory responsibilities. Front Office and Clerical Duties * Answer phones, check voicemails, and greet all students, families, and visitors in a friendly, courteous manner, with a strong customer service-orientation to set the tone for the school as a warm, welcoming, and safe environment * Regularly communicate with parents via phone and email to communicate absences, transportation, and student illness * Order office supplies and other supplies if needed * Order/pick up food or other supplies for events * Organize and file all school documents in a timely and accurate manner * Receive and distribute all school mail and shipments * Support with daily meal service and compliance of National School Lunch Program * Communicate information to custodial and facilities staff as needed to ensure building needs are addressed promptly * Manage distribution of school-wide mailings and other correspondence with families and external stakeholders as needed (e.g., labeling envelopes, printing, stuffing envelopes, etc.) * Support organization of school trips and events * Perform other clerical tasks as needed - including but not limited to calling for lunch forms, missing report cards, residency forms, and/or medical records, and collecting other forms from students Student Data Management * Lead and execute student data management, including: attendance, student information updates, and meal recording * Manage student tardies, absences, and attendance audits * Generate, print, and distribute student progress reports * Reconcile meals count data as requested to support compliance with the reimbursement process for the National School Lunch Program and Healthy Schools Act Enrollment & Family Support * Assist new and returning families in completion of application and registration processes, ensuring that all enrollment paperwork is accurate and complete for all students * Assist with the management of supports for students experiencing homelessness (uniforms, school supplies, transportation, etc.), in collaboration with the Office Manager General Support * Supervise students during arrival, dismissal, lunch, recess, and/or late pick-up, as needed * Schedule and coordinate meetings, events, interviews, appointments, trainings, and/or other similar activities for the Principal and other members of the school staff * Assist in monitoring school-wide attendance and punctuality patterns * Administer medications and provide first-aid to students when the school nurse is not available OTHER DUTIES Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
