Job Description

We are currently looking for an Executive Assistant to be the supporting force that empowers our senior leadership. The ideal candidate will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. We are looking for a candidate with previous experience working in an office environment, performing administrative duties, and providing support to senior leaders. Additionally, candidates much have solid working knowledge of office processes, computer software, and electronic communications tools. Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining the confidence needed to run high-level systems and operations.

Primary Responsibilities

Executive Support

  • Provides a wide range of complex office administration and support to the US based Partners and leadership team
  • Serves as principal administrative contact and liaison with external contacts including clients, investors, etc.
  • Manages complex calendars; arranges meetings, appointments, and travel arrangements
  • Answers and routes phone calls, mail, and e-mail messages; handles wide-range of information dissemination
  • Manages communication between upper management and employees, liaising with internal and external executives on various projects and tasks
  • Plans and orchestrates work to ensure the partner's priorities are met, organizational goals are achieved, and best practices are upheld
  • Performs administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing system and contact database
  • Maintains professionalism and strict confidentiality with all materials, and exercises discretion when interfacing with the business
    Office Management
    • Proactively manages office space and notices issues before they arise
    • Identifies opportunities for process and office management improvements; designs and implements new systems
    • Organizes and oversees inventory by keeping a detailed database of available inventory and expected usage
    • Researches services partner companies and negotiates best-price contracts to increase business revenue
    • Oversees contracts and providers for services including security, parking, cleaning, catering, technology, etc.
    • Ensures that office facilities, such as water and heating, are well-maintained
    • Ensures that the office facilities meet government regulations and environmental, health, and security standards
    • Organizes all shipments
    • Oversees distribution routes and improves route plans to ensure timely deliveries of items such as staff swag, client gifts, and new hire packages
    • Organizes and supervises other office activities e.g., event planning, team lunches, etc.
    • Provides general support to visitors

      Qualifications

      The ideal candidate will have the following skills and qualifications:
      • 2+ years of related experience working in an office environment, performing administrative duties, and providing support to senior leaders
      • Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy
      • Excellent customer service skills required
      • Exceptional communication skills both written and verbal
      • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly
      • Meticulous attention to detail
      • Emotional maturity
      • Ability to work across teams and with a variety of projects and constituencies
      • Proven ability to work in a fast-paced environment and stay calm under pressure
      • Solid working knowledge of office processes, computer software, and electronic communications tools
      • Bachelor's degree in a relevant field
