Job Description:
SUMMARY
The Manager, Gift Operations will support the Donor Care team in
the entry and financial reconciliation of the organization's
third-party gift uploads and wire transfers, ensuring
organizational business rules are followed, data entry is accurate
and timely, and discrepancies or other data issues are promptly
identified and addressed. In this role, the Manager of Gift
Operations will also oversee quality assurance processes for
transactional and biographical record hygiene and will regularly
coordinate with Gift Operations, Business Systems, and other staff
across departments to ensure reliable processing and optimal
efficiency, proactively offering recommendations and solutions that
enhance existing gift entry and reconciliation processes and
improvement of data quality.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Gift Entry, Financial Reconciliation, and Data Quality
(60%)
- Supports gift upload process for third party vendors (including
Benevity and Your Cause) and entry of wire transfers:
- Ensures daily files are posted, data is accurate, and delivery
is aligned with established Service Level agreements.
- Promptly notifies staff of successful data transmissions,
processing delays or other changes in gift processing status that
can impact teams' work and reporting.
- Conducts weekly audits of Direct Mail gift documentation to
ensure accurate entry, resolving action flags denoting the need for
further staff assistance.
- Oversees data quality for uploaded transactions:
- Reviews in-house gift entry (direct key wires and uploads) and
troubleshoots errors in fund, source, and PSP coding, also reviews
biographical data entry, makes adjustments in a timely
manner.
- Develops QA processes for monitoring accuracy of transactional
and biographical data entry (for uploaded data)
- Collaborates with the Donor Care and Business Systems teams on
the identification, troubleshooting and timely resolution of data
integrity issues, offering recommended solutions for future
improvement and assisting with data clean-up efforts.
- Supports the Senior Manager on monthly reconciliation processes
with the Finance team, ensuring that all gifts are committed within
5 business days of the close of the month; provides troubleshooting
support.
- Generates gift reporting from Salesforce on a daily, weekly and
monthly basis.
- Works closely with the Finance team and gift officers to ensure
compliance with internal earmarking policies and IRS regulations
for charitable gifts.
- Provides expertise on gift acceptance policies and
procedures.
- Understands earmarking policies and processes for coding
restricted funds.
- Supports credit card payment processing functions for monthly
donors; proactively identifies and communicates errors or
discrepancies.
General Team Operations (40%)
- Serves as backup for other members of the Gift Operations team
and is cross functionally trained on all gift processing,
acknowledgement fulfillment, and upload functions.
- Responds promptly and professionally to assigned cases in
Salesforce Service Cloud.
- Updates and maintains job knowledge by participating in
educational and professional development opportunities; monitors
industry trends in gift administration and compliance.
- Maintains policies and procedures manuals related to upload
processes in the Gift Operations team and updates as
necessary.
- Potential to manage up to one (1) full-time staff position,
oversees his/her performance and mentors his/her professional
development.
- Serves as a resource to the Donor Services team for escalated
donor inquiries that relate to donation processing and
receipting.
- Able to work in a limited capacity during the December holidays
(between December 26th and January 1st)

EDUCATION and/or EXPERIENCE
- 6-8 years' experience in gift administration, donor/customer
relations, data systems, fundraising or related field
- Bachelor's degree preferred

- Experience with fundraising CRMs is required; experience in
Salesforce NPSP and Salesforce Service Cloud strongly
preferred
- Ability to quickly learn and adapt to new software specific to
department or institutional needs and train users on gift
processing policies and procedures
- Demonstrated experience and knowledge of applicable IRS
regulations regarding philanthropic contributes and Generally
Accepted Account Principles (GAAP)
- Strong knowledge of gift processing procedures, established
record of database management, fundraising processes, and donor
relations
- 2+ years of people management experience preferred
- Must be able to organize and prioritize work, be proactive,
take initiative, resolve problems, and manage multiple priorities
to ensure goals are met within a timely manner
- Demonstrated ability to work successfully under pressure and
independently; able to consider processes end-to-end and anticipate
downstream effects
- Ability to work across teams to collectively achieve desired

- Very strong communication skills, both written and
verbal
- Proficiency in Microsoft Office (Word, Excel,
PowerPoint)
- Proven ability to manage time and juggle multiple

WORK LOCATIONHybrid + Washington, DC + May also involve travel to
some locations within the company's region of operations and select
donor locations.
COMPENSATION$76,161 - $95,201
