Just Vision is seeking a full-time Operations Manager. This is a job for someone who is a systems-thinker, who appreciates creating efficient and thoughtful team environments and who is eager to jump in with a dynamic, high-performing team.
The Operations Manager plays a key role in developing and maintaining the processes that ensure smooth function of the organization. S/he/they are responsible for: maintaining financial and organizational records, onboarding new employees, administering employee benefits, managing our finance team, and ensuring that our offices are run efficiently. The Operations Manager reports to the Deputy Director, handles confidential material and frequently interacts with staff and consultants across the organization. This position requires strong organizational skills, meticulous attention to detail and the ability to prioritize effectively.
Primary Responsibilities
Finance Operations

  • Coordinate with and manage Just Vision's external finance team on daily, weekly, monthly, quarterly and annual processes. This includes: -
  • Processing and approving invoices for consultants and vendors;
  • Ensuring the timely release of payroll;
  • Conducting monthly income and expense reconciliations;
  • Preparing monthly financial statements; Performing annual audit.
  • Prepare financial reports and other relevant briefing materials as needed for grant reports, board meetings and development staff. -
    Human Resources
    • Onboard and off board team members, driving employee orientation, new employee hiring forms and intake, and ensuring seamless and thoughtful transitions of staff.
    • Coordinate Just Vision's annual 360 process and support in planning for board and staff meetings, including retreats and the oversight of our virtual meeting platforms. -
    • Ensure Just Vision maintains compliance with state and federal requirements, including annual registrations, insurance policies and beyond, working closely with our legal counsel annually to review requirements and update policies as needed. -
      Office Management
      • Oversee the logistics for internal and external events, including in-person and virtual board meetings and special events.
      • Manage general office communications, including screening and answering telephone calls, managing Just Vision's general email account, and copying, faxing, scanning and filing key correspondence and mail.
      • Ensure that Just Vision's memberships, computer and IT subscriptions are annually renewed and updated as the organization evolves.
      • Oversee the file management of Just Vision's cloud system and data security and provide team-wide training to ensure effective implementation.
      • Provide support to the Executive Director, particularly as it relates to organizing travel and meetings and maintaining contact records for key stakeholders.
      • Maintain relationships with contacts at Just Vision's shared office and storage spaces and ensure timely payment and updating of leases and contracts on an annual basis.

        Required Experience and Skills
        • 2-3 years of experience in operations, human resources and/or finance roles.
        • Detail-oriented with outstanding verbal and organizational skills.
        • Exceptionally strong interpersonal skills, including the ability to consistently be tactful and professional, while maintaining warmth and a sense of humor.
        • Ease working with cloud systems like Box.com, database management software such as Salesforce as well as programs like Microsoft Office suite applications, in particular Word, Excel and PowerPoint.
        • Skilled at prioritizing and managing multiple projects at the same time, consistently meeting deadlines.
        • Strong writing skills and comfort in communicating in writing internally with teams and externally with the general public.
        • Demonstrated ability to work across perspectives and points of view, and work collaboratively with colleagues toward shared goals and objectives.
        • A quick learner, who can dive in and swiftly digest Just Vision's practices, policies and procedures, as well as our programs.
        • Independent and disciplined in setting goals and working to achieve them with minimal supervision.
        • Experience within a nonprofit organization and working across time zones in a virtual setting. -Apply NowThe salary range for this role is $50,000-$60,000, commensurate with experience.
