Job Description:

The Midtown Group has been awarded an exclusive to fulfill a Director of Administration role for one of the DC area's highest rated boutique law firms. Our client specializes in fast-paced intellectual property litigation, international trade law, and other related practice areas and the Director of Administration is expected to help manage and lead the firm as it prepares for the future. The Director will be responsible for implementing a range of business and administrative matters to ensure the effective management of the office. - Ideal candidates will be current associate director or equivalent level candidates from the legal space who are ready for the challenge of moving up to lead the administrative side of a firm with a rich history and bright future. - KEY RESPONSIBILITIES - - Oversees all administrative functions of the sixty-person office: HR, accounting, finance, & billing, administrative and legal staff, and office services. This includes the oversight and continuous review of existing operating procedures, development and implementation of modernized and efficient changes or new processes, and managing office initiatives such as digitization of marketing and overall better use of technology to increase efficiency - Reviews existing standards and procedures for office administration, facilities, and records management, and measures results against these standards, taking action where gaps are identified - Monitors financial expenses, including assisting with office budget, and working with the finance team to schedule expenditures - Reporting to the Managing Partner of the office, provides succinct and relevant management information and consistently demonstrates the ability to summarize information, identify relevant trends, and propose best practices. - Accountable for effective maintenance of the work environment, including management of relevant vendor relationships and ensures issues are addressed in an efficient manner - Oversees relevant safety and security training for office employees - Oversees the Office Administrator in supply chain management and inventory control, including negotiation and ownership of local relationships with office suppliers and utilities and coordinating deliveries and installations - Oversees, mentors and guides Office Administrator and one Records Management professional, with ownership to modernize processes in both Office Services and Records Management functions - Working with Managing Partner, manages all space planning, including directing the process for workstation/office moves within the office and for new employees - QUALIFICATIONS & EXPERIENCE - Bachelor's degree or higher. Those with MBA's and applicable experience will be very well received. - At least 5 years of experience in a law firm as an Office Manager or another related leadership role - Strong technical skills required (including MS Office) - Excellent written and verbal communication skills, and the ability to build strong relationships at all levels, both internally and externally - Extensive experience with vendor management and supply chain - Previous experience managing a team of administrators - Significant experience of successfully implementing process improvements, including new technologies and implementations - A problem-solving mindset, willing and able to overcome obstacles to be successful, and a commitment to the highest level or professionalism.
