We offer secure, cloud-based, enterprise-wide information technology-based solutions that enable enterprises and government agencies to deploy fully compliant IT services in accordance with government-mandated regulations and advanced system requirements.We are looking for a highly motivated Administrative Assistant located in Columbus Ohio that can operate in a start-up like environment of a micro-cap publicly-traded company.Essential Duties and ResponsibilitiesThe essential functions include, but are not limited to the following:* Office Management Support:* Maintains a presence in the lobby as the receptionist* Welcomes and directs visitors and clients by ensuring they are correctly signed in and badged.* Maintains health safety assessments* Answers and transfers phone calls, screening when necessary.* Sign for and accept package and mail deliveries, and distribute to appropriate personnel.* Maintains office supplies and kitchen supplies; may coordinate maintenance of office equipment; ensures kitchen and health supplies are stocked* Coordinates and schedules meetings and appointments for managers or supervisors.* Facilitate, contact, and track building maintenance requests to completion.* Assist with key card access and alarm coordination.* Assists with Security Clearance requests as needed.* Retrieves information as requested from records, email, minutes, and other documents; and prepares written summaries of the research for senior staff.* Responds to and resolves administrative inquiries and questions.* Managing vendors and vendor invoice processing.* Maintains filing systems and scanning support as assigned.* Performs other related duties as assigned.* Human Resources Support:* Safety Coordinator for the front desk area (maintain the First Aid Kit, self-inspections).* Assist with HRMS* Maintains personnel records as assigned, ensuring confidential information is kept confidential.* Training program contact:* Responsible for coordination with IT department for training program; knowing system and implementing any annual or refresher courses needed* Recruiting Assistance:* Open positions maintenance and supporting the Applicant Tracking Software.* Weekly email notifications to WidePoint employees on open positions.* Assisting hiring managers by monitoring applicants, scheduling interviews, and getting references for new hires.* Coordinate with the Hampton and Fairfax office for new hires.* Announcing new hires on their day of start, setting up their training schedule, coordinating orientation, and add to all tracking (e.g., anniversary), and WidePoint apparel.Minimum Qualifications (Knowledge, Skills, and Abilities)The minimum qualifications include:* High School Diploma or GED required; two (2) years college or equivalent work experience preferred.* MUST be Proficient in Microsoft Office Suite specifically Word, Excel and Outlook.* Proficient in email, electronic calendars, and other office support software.* Understanding of clerical procedures and systems such as record keeping and filing.* Excellent organizational skills, attention to detail, and ability to work independently.* Excellent verbal and written communication skills, with the ability to exchange non-routine information using tact and persuasion, as appropriate.* Excellent interpersonal and customer service skills.Supervisory ResponsibilitiesN/APhysical Demands and Work EnvironmentThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
