Job Summary

Reporting to the Administrative Manager, you will enhance the effectiveness of the WRI Ross Center for Sustainable Cities by providing administrative support to top management of the Center. Your experience in a multi-cultural environment, organization skills and detail-orientation will be utilized in this role. You will serve as a point of contact for internal and external stakeholders on all matters pertaining to the Ross Center and will be a liaison to Country office Directors, Project Area leaders, and high-level external contacts such as donors and partners.

You will work closely with the Global Director, Executive Assistant, and Senior Management by anticipating needs, proactively resolving issues, assisting in the management of deliverable deadlines and ensuring timely preparation for upcoming events and commitments. You will independently address the administrative needs of the Senior Management. Administrative responsibilities include an emphasis on preparation and monitoring of expense reports, scheduling and meeting preparation, and arrangement of domestic and international travel plans. You will support internal and external events, help coordinate special projects, and assist with correspondence.

Job Responsibilities

Key responsibilities will include, and are not limited to:

  • Prepare and monitor expense reports for Senior Management to ensure financial objectives are met
  • Arrange international and domestic travel plans for Senior Management
  • Provide administrative support to Senior Management including scheduling and agenda-setting, emailing and phone-calls
  • Assist Senior Management in collecting background materials for meetings and conferences, including travel and logistical support
  • Use basic office software to create drafts and summaries, including meeting pre-briefs and de-briefs
  • Ensure appropriate follow-up to all internal and external engagements
  • Organize internal and external meetings, take minutes and track follow-up as necessary
  • Identify opportunities and execute actions to improve operational efficiency
  • Support special events and large meetings, which may include material preparation, room set-up, A/V management, and catering.
  • Coordinate across programs at the institute and within the program to contribute to the overall success of WRI Ross Center.
    Job Qualifications
    • Bachelor's degree required
    • Minimum of 1 year of full time, relevant experience working as a business personal assistant, special assistant, or executive assistant (or similar role)
    • Superior organization skills and attention to detail
    • Ability to be flexible and can work independently or in a startup team environment
    • Demonstrates ability to diffuse conflict and ensure productivity
    • Set priorities and solves a range of general problems independently
    • Ability to maintain confidentiality
    • Professional demeanor and superior people skills
    • Excellent computer skills in Microsoft Office (Outlook, Word, Excel, Power Point) and the Internet
    • Basic website editing or graphic design skills are a plus
    • Ability to learn and use software applications that are used by WRI Ross Center for Sustainable Cities
    • Flexible and able to multi-task; can work within an ambiguous, fast-moving environment, while also driving toward clarity and solutions; demonstrated resourcefulness in setting priorities and guiding investment in people and systems
    • Excellent oral and written communication skills; multiple languages a plus
    • Commitment to WRI's mission and values and interest in environmental issues.
