Director of First Impressions (Receptionist) HBW GroupHBW Groupprovides services in commercial construction, real estate, building services, and property management. We currently have 115 employees/associates, approximately 50 of whom work in our office in Rockville, MD. You will know that you are in a professionally managed firm the minute you walk in the door. We are a fast-paced and results-driven company.Responsibilities of the Director of First Impressions

  • Provide professional, pleasant and positive FIRST IMPRESSION at all times
  • Manage incoming telephone traffic from tenants, vendors, contractors and other business associates and route them accordingly with exceptional customer service
  • Greet visitors promptly and courteously and offer/serve beverages
  • Maintain reception log neatly and in a timely manner to account for staff
  • Forward telephone calls as directed and activate night line each day at 5:00pm
  • Maintain neat, organized and clean reception area, conference room and kitchen
  • Responsible for opening, stamping, organizing and distributing all mail including packages and courier deliveries
  • Maintain inventory of fax, delivery and overnight express forms.
  • Maintain schedule for conference room
  • Assist Property Management staff with receiving rent checks, issue receipts and direct checks to appropriate accounting personnel
  • Manage incoming property management calls including tenant and owner inquiries, tenant repair requests and help resolve customer concerns
  • Manage tenant repair ticket workflow, dispatch of engineering resources as appropriate
  • Maintain constant communication between Property Managers, Engineers and customers to ensure customer satisfaction
  • Perform regular follow up calls on completed work tickets to collect customer feedback.
  • Relay important property management issues to Field Engineers and Property Managers
  • Assist Administrative Staff and perform tasks as directed or required to accomplish the duties of the positionRequirements
    • High School diploma or equivalent
    • Minimum 5 years of general administrative and customer service experience
    • Energetic and professional, strong organizational and communication skills, ability to manage multiple and competing priorities
    • Able to establish and maintain professional working relationships with co-workers, clients, contractors and public
    • Proficient with Microsoft Office Suite including Word, Excel and OutlookWhat's Attractive to the Right Candidate?
